1. Setup Your Onboarding Session
Your onboarding session is the perfect place to start! We will walk you through important Grelen policies, answer your initial questions, and introduce you to the resources available throughout the planning process. We recommend scheduling this virtual session soon after booking so that you have a clear understanding of Grelen's guidelines from the beginning.
2. Follow Along & Get Excited
Become a "Grelen Groupie" and follow along as your wedding day approaches! Explore our blog, Instagram, Pinterest, and other social channels for real weddings, planning inspiration, venue highlights, seasonal updates, and plenty of behind-the-scenes moments from around Grelen. So much of Grelen to explore!
3. Schedule Your Engagement Shoot
One of the perks of being a Grelen couple is complimentary access to our properties for your engagement session. Choose from The Market at Grelen, Boxwood Villa, Spotswood Lodge, or The Grelen Depot, each offering a distinctive setting and beautiful backdrop for your photographs. Engagement sessions are available by appointment only. Please contact our Events Team through your Tripleseat portal to schedule your session.

4. Choose Your Vendors
Your planner and caterer should be among the first vendors you secure, as they play an important role throughout the planning process. Grelen couples are required to select their planner and caterer from our Preferred Vendor List. If you would like to work with a professional who is not currently on the list, please contact our Events Team to discuss the approval process before making a commitment.
Our Preferred Vendor List also includes talented professionals in photography, florals, entertainment, transportation, beauty, rentals, and more.

Turn your wedding into a true Grelen getaway! Our collection of lodging properties makes it easy for couples, wedding parties, families, and guests to stay nearby while enjoying more of the Grelen experience. From historic homes and private country retreats to beautifully appointed suites in downtown Orange, our properties offer a range of settings, sizes, and amenities. You can also explore additional lodging throughout Orange County and the surrounding area for larger guest groups.

Where you spend the first part of your wedding day can be almost as memorable as the celebration itself. Grelen offers several beautiful getting-ready locations, allowing couples and wedding parties to choose the setting that best suits their plans. Explore Boxwood Villa, Spotswood Lodge, The 118 Suite, Caroline House, and Magnolia Cottage. Each offers its own atmosphere and beautiful opportunities for getting-ready photographs, portraits, first looks, and time with family and friends before the celebration begins. Spotswood Lodge offers a relaxed countryside atmosphere surrounded by nature, while The Grelen Depot brings an intimate, European-inspired feel to the heart of downtown Orange. Mix and match properties to create a wedding weekend that feels entirely your own.

8. Plan Guest Activities
Give your guests a reason to make a weekend of it! Orange County and Central Virginia offer an incredible mix of wineries, historic sites, restaurants, shops, outdoor adventures, charming towns, and beautiful countryside to explore between wedding festivities. We are happy to provide Grelen brochures and trail maps for welcome bags or hotel rooms. You can also share our local guide with your guests to help them discover some of our favorite places throughout the area.

Every event held at a Grelen property requires event liability insurance. Coverage requirements vary by property and event, so please refer to your contract for the requirements that apply to your celebration.

eWed Insurance offers an affordable and convenient option for Grelen clients. Much of Grelen's required information is already provided, and one policy can cover up to three events during your wedding weekend at no additional cost. Your completed policy is also sent directly to our Events Team.

If alcohol will be served, you may also be required to obtain a Virginia ABC banquet license. A copy of the applicable license must be submitted to our Events Team no later than 30 days before your event.
Vendor Resources for All Properties

All paid vendors working onsite at a Grelen property are required to carry business liability insurance and complete the appropriate Grelen agreements or waivers.

As you select your vendors, please confirm that they carry the required insurance and are willing to comply with Grelen's policies. Our Events Team will collect signed agreements, waivers, and Certificates of Insurance directly from your vendors.

If a friend or family member will be providing a service normally performed by a professional vendor, please let our Events Team know so that we can review the applicable requirements with you.

10. Decide Last Minute Details &
Book Your Final Walk Thru
You're almost there! Your final walk-through is typically scheduled by your planner approximately 4–6 weeks before your wedding and brings together your planner, caterer, and Grelen's Director of Events. During this meeting, we will review your timeline, floor plan, vendor logistics, applicable policies, rain plan, Grelen rentals and catering orders, and any remaining details needed to prepare for a smooth wedding day.
Make planning a little easier with Grelen's collection of onsite rentals. Our offerings include farm tables, fire pits, arbors, baskets, and other popular items selected to complement our properties and simplify your rental needs. Browse the rental options for your venue and place your order through the appropriate online portal.
Add a little Grelen sweetness to your celebration! Our homemade ice cream and cookies make a fun addition to wedding weekends, from late-night treats to welcome gatherings and other special moments.
Our ice cream menu changes seasonally and often incorporates fruit grown right here at Grelen. Orders may be placed through our Events Team.
The Grelen Café offers convenient food and beverage options for getting-ready mornings, wedding parties, welcome gatherings, and other wedding-weekend occasions. Orders can be delivered to Magnolia Cottage, Boxwood Villa, Spotswood Lodge, The Depot/118 Suite & Caroline House. Please review our current menu and submit all orders at least two weeks before your event.
*Magnolia Cottage is only available to The Market at Grelen Couples
Delivery & Service fees are not included online - before we process your order we will let you know if there are any additional fees. There are no additional fees for Magnolia Cottage.
